Custom fields allow you to collect, store, and display specific information across different parts of your system.To get started, let’s navigate to the "Custom Fields" section. Click on your name in the top-right corner, select "Main settings," and then choose "Custom fields" from the left-side menu.
Custom fields are categorized by where they can be applied. For example, you can create fields for users, sites, units, unit types, rentals, invoices, or businesses.
Let’s look at a couple of examples. A user custom field could be used to collect additional information during signup, like an alternative contact number. On the other hand, a site custom field might display information specific to a location, like bank details to include in invoice emails.
To create a custom field, start by choosing the section you want the custom field to apply to. For this demonstration, let’s create a user custom field for an alternative contact number.
First, you’ll add a "title"—this is what the customer will see. Next, enter a "code". This is used to identify the custom field in templates or during data imports and exports.
Then, select the type of field. Storeganise offers several field types, and each is detailed in our help documentation. For this example, we’ll choose "telephone." If you want to provide a dropdown menu with multiple options, you can enter these in the "Choices" field. The "Parameters" field lets you set specific rules, like a minimum or maximum character count.
You can also add help text to guide users on what to enter, and a placeholder that displays in the field until the user inputs their own data. Next, set the "User permissions". Choose "View only" if the field is just for display. "View and create" if users should add data at signup but not update it later. "View and update" if users can edit the field later in their account.
Other settings include "Read-only", which allows users to see the field but not interact with it. "Required", which ensures the field must be filled out. "Secret" which determines whether managers can view the data in plain text.
Finally, set the order to decide where the field appears in the list. Once you’ve created your custom field, it will immediately be available. For example, you can see it appear during customer signup. Data collected in custom fields can also be used in agreements or email templates by selecting the "Insert variable" option when editing.
