When a customer reserves a unit online through your Storeganise Customer Portal, you can require them to e-sign a rental agreement before completing the order. These agreements are built using dynamic templates that automatically fill in the correct information for each booking.To set up your rental agreement, go to the "Settings" section in your "Storeganise Management Portal" and select the "Self Storage" tab. You have two setup options. "HTML mode" is best for simpler agreements, allowing direct editing in the portal’s text editor. "PDF mode" works better for more advanced or complex contracts.
If you use HTML mode, you can customize and update the agreement directly in the Management Portal. New Storeganise accounts include a sample agreement you can use as a reference for formatting things like bold text or tables. The agreements utilize "Markdown" for text formatting.
There is a guide available on basic Markdown formatting, here, and many free resources online provide more advanced help. If you’ve already created your contract in a program like Google Docs, you can directly export it as a Markdown file to save time and automatically convert the bulk of the formatting.
To include customer-specific information in your agreements, you will use "placeholder variables." These variables are found in the ‘Variables’ dropdown list, organized by sections such as company information, user information, and rental details. Any custom fields you create will also appear in the list of variables.
For example, to insert the customer’s phone number, navigate to the relevant section in the agreement, open the "Variables" dropdown, and select "User Phone." Variables are easy to identify since they are enclosed in "double curly brackets." Follow the same process to include other data. For example, to display the tenant’s monthly rental amount, go to the appropriate section of the agreement, click the "Variables" dropdown, and select "Rental Price" from the list.
Make sure to save your changes frequently by clicking the "Save" button to avoid losing any progress.
Once your agreement is ready, you can preview how it will look for customers using the ‘Preview’ button. The "HTML preview" option opens a new window to show how the agreement will appear during the e-signing process in the Customer Portal. The "PDF preview" option shows how the document will look if it is downloaded by either party.
In "preview mode," the system will automatically fill placeholder variables with sample information, but it won’t populate data for any custom fields. To ensure everything works as expected, it’s recommended that a test move-in be processed to verify that the agreement and custom fields display correctly
