Add-on: PTI access control
Note: This Add-on is installed per site.
The Storeganise PTI Add-on helps manage and synchronize access credentials, streamlining the entire process of unit rentals, move-ins, move-outs, and more.
This guide will walk you through setting up the PTI add-on, configuring unit synchronization, managing user access, and troubleshooting common issues.
Setting up the PTI Add-on
Install the PTI Add-On
- Go Sites > [Site] > Add-ons and click the + icon to select an Add-on
- Find and install the PTI Add-on. You may need to contact support to get this added.
- During installation, you will need to enter your PTI credentials:
- PTI Site Code
- PTI Site Key
- PTI Username and Password
- PTI Default Zone (timezone for units)
You can obtain these credentials from your PTI representative or system administrator. Typically, these credentials are provided when setting up the integration for a specific storage facility. If any credentials are missing, users should contact PTI support or their system administrator directly.
Once youāve filled in your add-on settings, click āEnableā.
Credential Syncing:
- Storeganise uses the PTI credentials provided during the add-on setup to securely connect with Storlogix.
- These credentials (PTI Site Key, Site Code, Username, and Password) allow Storeganise to communicate directly with PTI's backend and facilitate data exchange.
- When unit rentals are updated in Storeganise (e.g., during a move-in or move-out), this information is automatically pushed to Storlogix using these credentials.
- The PTI Default Zone setting helps ensure that time zone configurations are accurately synced across systems.
Syncing with Storlogix
Storeganise integrates directly with Storlogix, PTI's backend management portal, to ensure that all actions related to unit rentals are reflected accurately in the PTI system.
- Real-time synchronization: Storeganise acts as the āsource of truthā so in most cases you should make updates in Storeganise, not in Storlogix. When actions like move-ins, move-outs, or overlocks occur in Storeganise, corresponding updates are automatically pushed to Storlogix to reflect these changes.
- Access management: Storeganise handles customer move-ins by creating access codes, which are then synced with Storlogix. You can verify these access codes directly in Storlogix to ensure they match those generated by Storeganise.
- Lock status updates: Storeganise automates the process of locking and unlocking units based on payment status. For example, if a customer's payment becomes overdue, Storeganise instructs Storlogix to overlock the corresponding unit until the overdue payment is resolved.
- Checking unit status: You can log in to Storlogix to manually verify the state of a unit or an access code. This is particularly useful for troubleshooting or double-checking that actions performed in Storeganise (e.g., move-outs) have been correctly applied in Storlogix.
Configuring PTI zones in Storeganise
Example of how PTI zones is set up in Storlogix:
You can manage access permissions using PTI zones. Here's how to configure the default PTI zone and override it for specific users.
Default PTI zone configuration
Global Add-on or Site Add-on:
- Go to Sites > Add-ons > PTI to edit the Add-on settings
- Configure the default PTI zone, which is typically used for all customers. This sets the base level of access for users. (example below: PTI Default Access Area set to
8
)
You can override the default PTI zone at the user level. For instance, if you want to grant a staff member access to a different zone, you can do this by going to the user custom field.
E.g. If a user is a staff member and needs unrestricted access:
- Go to Users > [User] > Custom fields
- Set the PTI Access Level field to
1
.
Synchronizing Units and Users
- Move-ins and move-outs:
- From the Customer Portal: Storeganise generates an access code for the customer, which is then synced with PTI.
- From the Management Portal: In Storeganise, locate the unit you want to rent, then schedule and complete a move-in. Storeganise will communicate with PTI to create an access code, which can be included as a placeholder in customer emails.
- Access code synchronization: After the move-in, check your PTI account to ensure the access code matches the one generated in Storeganise.
- For move-outs, Storeganise will remove the access from PTI, making the unit available again.
- Access level configuration:
- Default access is set in the PTI Add-on settings, but it can be adjusted on a user-by-user basis in Storeganise.
- For example, if a staff member needs broader access, you can override the default zone in their user profile.
Managing access
- Access codes: When a new rental is processed, Storeganise automatically generates an access code, which is synced with PTI and visible in the unit rental details.
- Overlocking units: Storeganise can automatically overlock units in PTI when a customer is overdue on their payment. Once the payment is resolved, the unit is unlocked.
- Resynchronizing data: If there is any discrepancy between Storeganise and PTI, you can manually trigger a synchronization from the unit rental page.
- Automated Task Creation: The new PTI version is designed to be more automated, creating tasks at the unit level to guide operators if there are any issues with synchronization or setup. These tasks can help identify problems such as incorrect custom field values (e.g., Access Area ID or Default Access Level).
Multiple units for a customer
If a customer rents multiple units, Storeganise checks for existing unit rentals and assigns the same access code for all units under that customer.
Suspend units
Storeganise can automatically suspend access to units within PTI when invoices become overdue. You can also manually suspend or unsuspend access for specific units.
Resync data
Manually trigger a resynchronization of data from Storeganise to PTI in case of any discrepancies.
Generate new access codes
Storeganise allows you to generate new access codes for customers, which can be essential in ensuring your customers have the correct access.
Adjust customer access level
You can override the default access level for customers within PTI, tailoring access to individual users. This change may require a resynchronization to update PTI.
Move-out process
When a customer moves out, schedule the move-out in Storeganise, marking the unit as available. This process automatically removes access to that unit within PTI.
Troubleshooting common issues
- Webhook errors: If you encounter a webhook error (e.g., during a move-out), ensure that only one instance of the PTI Add-on is active for the site. Multiple active instances can lead to conflicts.
- Synchronization issues: Verify that unit names and Add-on fields in Storeganise match those in PTI. Mismatches can lead to failed synchronizations.
- Checking PTI status: You can use the PTI Storlogix to verify the current state of a unit or access lock. Log in with your credentials and search by unit to confirm if changes are applied correctly.
Testing and verification
- To test the integration and simulate potential errors, you can use a testing environment. For example, you can try setting an invalid value for the "Default Access Level" in the add-on settings to see how the system responds. This helps in understanding potential issues that may arise during operation.
- To verify that the synchronization works as expected:
- Log in to the Storlogix portal and search for the unit.
- After making a change in Storeganise (e.g., moving a customer out), refresh Storlogix to ensure the unit's status matches.
- Always ensure that only one PTI add-on is active per site to avoid unauthorized errors.
Legacy - Migration from previous integration
- Configure units and zones
- Use the PTI unit name field in Storeganise to match each unit with its corresponding name in PTI.
- If a unit name in Storeganise must be different from the one in Storlogix, you can set the unitās PTI ID to the name in Storlogix. This will override the ādefaultā Storeganise unit name so that syncing can still work.
- Set the Default PTI zone for each site in the PTI Add-on settings. This default zone will apply to all units unless overridden.
