Add-on: Bearbox access control

The BearBox Add-on integrates with Storeganise, enabling seamless synchronization of unit and rental data with BearBox's admin system.

Overview

• The add-on enables unit and rental management by syncing Storeganise with Bearbox.
• Synchronizes unit names, rental states, zones, and access codes.
• Automatically manages access permissions based on rental status.

Setting up the Bearbox Add-on

1. Enable the Add-On

• Navigate to Sites → [Your Site] → Add-ons and click the + icon.
• Select BearBox from the list and install it.
• Contact Storeganise support if BearBox is not available in your Add-ons list.

2. Configure the Add-On

To start using the Add-on, contact Bearbox to obtain your site-specific credentials:

• bearbox_siteId: Identifies the site linked to Bearbox.
• bearbox_username: Provided by Bearbox.
• bearbox_password: Provided by Bearbox.
• bearbox_zone: Default zone for units (e.g., customer or staff zones). Can be overridden for specific units or rentals.
• bearbox_environment: (Optional) Assign whether production or testing
  • Production: The live environment (typically used by operators to manage their business).
  • Testing: for test accounts, which includes instances like trial accounts or testing accounts.

3. Activate the Add-On

Once all configurations are complete:

• Click Enable to activate the integration.

How the Add-on Works

Move-ins

• When a move-in is completed in Storeganise, Bearbox automatically assigns a unique pincode for unit access.
• Unit names must match between Storeganise and BearBox to sync successfully.

Move-outs

• Upon move-out, the customer’s access is revoked, and the unit is freed for the next rental.

Rental custom fields

The following custom fields are added for all unit rentals using the Add-on:

• bearbox_pinCode: Automatically assigned upon move-in.
• bearbox_overlocked:
  • Automatically set to true when a rental is overdue.
  • Automatically set to false when overdue status is cleared (e.g., after payment).
• bearbox_zone: (Optional) Overrides the default or unit-level bearbox_zone .

Bearbox dashboard integration

• Unit names: Must match exactly between Storeganise and Bearbox.
• Zones:
  • Zones control access permissions and times for customers and staff.
  • Customize zones for units or rentals as needed.

Rental states in Bearbox

• Locked out: Access restricted due to:
  • Manual Overlock: Restricted by staff.
  • Automatic Overlock: Triggered by overdue payments.
• Rented: Unit is occupied.
• Dummy node: Unit is inactive or available for rent.

Important notes

1. Matching fields:
   • Ensure all unit and rental fields in Storeganise match Bearbox fields exactly.
   • This includes account codes, pincode configurations, and zone IDs.
2. Default zone:
   • Units without a specific bearbox_zone will default to the site-level zone.
3. Custom unit names:
   • If using custom names, ensure they match the BearBox unit ID to avoid sync issues.
4. Testing environment:
   • Use the Testing environment for trial or testing purposes before switching to Production.
5. Manual resync:
   1. Trigger a manual resync by making any update on a unit rental such as adjusting the bearbox_overlocked or any other rental custom field
